Description
GENERAL PURPOSE OF JOB
The Account Services Department is a unit within the Operations Division
servicing Investment Professionals with inquiries on brokerage and direct
held accounts. The job functions within the department is the processing
of all retail and managed accounts, as well as accounts held directly
at the Mutual Fund, Annuity, and Limited Partnership companies. The
Account Services associate is responsible for reviewing new account
paperwork along with any supplemental forms, and then proceeds on opening
the account. The associate also works on setting up accounts on the
billing system, reviews the billing on a quarterly basis, works closely
with money managers on managed accounts, and provides operational support
to the Products Department. The processing of REITs, Limited Partnerships,
and Direct Held accounts for mutual funds and annuities includes reviewing
all documents received, processing check requests if needed, forwarding
documents to corresponding third party companies, and following up on
requests until completion. The functions and responsibilities within
the Account Services Department requires the associate to constantly
interact with Supervison and Compliance, the Product Manager, Investment
Professionals, and third party companies. ESSENTIAL
DUTIES AND RESPONSIBILITIES AND include the following and other duties
as assigned:
Reviews all new account applications for completion and opens retail
and managed accounts. Contact the Investment Professional to acquire
missing information.
Processes requests for managed accounts, direct held accounts, and
broker dealer changes.
Process updates for existing accounts and maintain account client
information current.
Process check writing applications, reversal of withholdings and rep
changes.
Sets managed accounts up for quarterly billing and reviews quarterly
billing file.
Manages quarterly billing reconciliation.
Process termination requests for managed accounts.
Requirements
SUPERVISORY RESPONSIBILITIES:
None.
EDUCATION
and/or EXPERIENCE
Associate's degree (A. A.) or equivalent from two-year college or
technical school; or one year related experience and/or training;
or equivalent combination of education and experience. One year prior
financial industry experience required.
LANGUAGE
SKILLS
Ability to read and interpret documents such as safety rules, operating
and maintenance instructions, and procedure manuals. Ability to write
routine reports and correspondence. Ability to speak effectively before
groups of customers or employees of organization.
MATHEMATICAL
SKILLS
Ability to calculate figures and amounts such as discounts, interest,
commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts of basic algebra and geometry.
COMPUTER
SKILLS
Basic knowledge of Microsoft Outlook, Excel, Windows and NetExchange
Pro required. Proficient Data Entry skills required.
