Primary functions
are to respond to customer Requests for replacement equipment parts
and components as well as performing related customer support activities.
Job Description:
This is a staff position that reports to the Customer Service Supervisor
while regularly interfacing with Engineering, Purchasing and Accounting
departments in the course of processing the flow of customer parts
orders and inquiries. In this position, you will be responsible for
handling the spare parts order process from initial customer contact
through to fulfillment of order or information request. Ability to
maintain an upbeat attitude and steady demeanor while managing multiple
tasks and occasionally, stressful situations is a must.
Key Responsibilities:
*Process customer inquiries for replacement parts, parts price quotations
and related information concerning the general maintenance of our
installed base of processing machinery.
*Assist customer in troubleshooting equipment and process problems
via telephone, email and written communications. Make use of all organizational
resources - research historical files and company databases, consult
with Marketing, Engineering and Purchasing departments, contact outside
vendors - to obtain requested information and/or resolve customers'
service issues.
*Keep records on the application, follow-up and tracking of solutions
to field service and warranty situations.
*Assemble operations manuals for machinery and components from Company
and supplier information sources. Assist in updating manual documentation.
*Prepare transportation for domestic and international shipments of
equipment parts as well as new machinery. Work with UPS, FedEx, common
carrier truckers, freight forwarders and customs brokers.
*Organize on-site visits by qualified company technical staff to satisfy
requests for field service support, retrofit projects or warranty
situations. Liaise with customers to coordinate visit schedules. Make
travel arrangements for field service personnel.
*Generate recurring and ad hoc parts sales report information for
Marketing department and Sales Force.
*Participate in devising new procedures and modifying existing policies
that will streamline and improve upon existing customer service practices.
Provide input for establishing methods to measure the Company's ability
to maintain high customer service levels.
*Shared administrative responsibilities including mail, filing, handling
incoming phone calls, and maintaining office supplies inventories.
*Take on occasional, special projects that may be outside the scope
of customer service department.
Requirements:
*High school diploma or equivalent. College degree or coursework a
plus.
*Prior experience in a comparable Customer Service position and/or
a positive, customer-oriented attitude a must.
*Must possess strong communication skills, both written and oral,
with a pleasant yet assertive disposition over the telephone.
*Good problem solving abilities, with a focus on accuracy and attention
to detail.
*Proficiency with computers and Microsoft Office applications is required.
Should be comfortable using business productivity software, particularly
Microsoft Access and Excel.
*Mechanical and/or electrical aptitude or interest a plus.
*The right candidate must be flexible, dedicated and outgoing to excel
in this fast-paced environment.
