Will provide administrative
support to other staff and directors in execution of their respective
responsibilities. This includes coordination of print and/or photocopying
projects, web updates, mailings, filing, and other duties associated
with the production of meetings, events, print and electronic publications,
volunteer activities, etc. He/she will accept and process telephone
and fax orders for publications, meeting registration, dues and other
transactions as received. This individual will also coordinate schedules
and logistical details for meetings and teleconferences, as requested.
Manage
the corporate phone system answering all incoming telephone calls
to the company and our client organizations, and direct them to the
appropriate personnel. Maintain an accurate inventory and purchase
all office supplies for the company and its client organizations.
May assist the members of the staff on special projects as needed
and requested by the CEO. Process credit card transaction and enter
income into Quickbooks file.
Other office support
duties include: greeting, receiving and assisting visitors to the
office; maintaining common office space and the reception area; monitoring,
directing or responding to general e-mail inquiries or other information
requests.
Requirements:
Experience: Administrative experience is a must with demonstrated
proficiency in coordination of core operational processes. Requires
experience in successfully managing multiple projects simultaneously
and meeting deadlines.
Competencies:
The individual must have a strong customer service orientation and
excellent verbal and written communication skills. He/she must have
the ability to manage multiple projects simultaneously, as well as
handle pressure, meet deadlines and demonstrate sound judgment. The
individual must have a professional, pleasant phone manner; the ability
to work cooperatively with staff, volunteers and the membership; a
basic understanding of and proficiency with data processing, computer
software and systems; Internet communication tools including email
correspondence, mass email dissemination, web technologies and financial
background are required.
The successful
candidate will be self-directed with excellent problem-solving abilities
and a positive, result-oriented attitude. He/she will have the ability
to anticipate needs and/or problems, offer solutions and other self-directed
work skills are desirable.
Salary range depending
on experience. Office hours are from 8:00a.m. – 5:00 p.m.
