and experienced Executive Administrative Assistant with a positive
attitude. We are located in the beautiful, oceanside city of Carpinteria,
CA between Ventura and Santa Barbara.

In this position you will
report to the VP of Research and Development /Site Manager and be
responsible for day to day administrative assistance and support for
Executive Management and staff. The Executive Assistant will be assigned
specific projects and tasks by Vice President of Research and Development
and set priorities of work assignments on a daily basis. You will
also have the overall responsibility for a small administrative support
staff, including the reception desk, coordinating and supervising
daily activities, and establishing standards. This candidate must
provide leadership in the design and execution of efficient and innovative
business processes. You will provide advanced secretarial, administrative
and business management support. You will be responsible for maintaining
confidentiality while handling the details of highly confidential
and critical nature information/materials.
In this role you must be
able to independently provide executive level support to management
including:
Providing advanced secretarial,
administrative and business management support.
Handling details of a highly confidential and critical nature information
and materials.
Scheduling meetings - teleconferences & live meetings
Coordinating administrative and logistical details associated with
the day to day operation of the Executive.
Providing administrative support to corporate visitors and guests
Overall responsibility for the management of the receptionist, and
general assistants. Responsible for scheduling and coordination of
activities.
Coordinating and supervising daily activities including problem solving.
Establishing standards and procedures and ensuring on-going efficiencies
in the daily operations of a small administrative support staff as
well as the identification of opportunities for productivity improvements.
Requirements
Must have excellent communication
skills, written, verbal and oral, are required to effectively communicate
with executive staff, in the creation of correspondence.
Must have the ability and flexibility to function in a fast-paced
environment where demands run high and organizational skills and attention
to detail are essential.
Must have the ability to
work independently as well as the ability to successfully multitask
projects concurrently.
Must be able to maintain
a high level of confidentiality and positive attitude
Experience with budgets
Must take initiative when tasked with projects that support the organization
Previous supervisory skills
BA or equivalent business experience
Minimum 5 years experience in office administration at an executive
level
